Registration and delegate placement
Getting the right students into the right committees, before the good ones are gone.
Conference registration is not one form. There is a delegation application, then country and committee preferences, then a delegate roster, then position papers — each with its own portal, deadline and allocation logic. Popular committees fill early, and a delegation that registers late takes what is left.

Submitted as soon as registration opens, with the school’s profile and delegation size, to secure an early allocation slot.
Country and committee preferences
Ranked against your students’ strengths rather than by prestige, which is how delegations end up in committees they can actually compete in.
Delegate roster
Names, passports, dietary and medical notes collected once and filed everywhere they are needed.
Position papers
Deadlines tracked per delegate, drafts reviewed against the host’s published criteria before submission.
Visa documentation
A conference visa is a short-stay visitor application with an unusual purpose, and it fails for predictable reasons: thin financial evidence, a missing invitation letter, an unaccompanied minor with no consent affidavit, or a student who cannot explain why they are going.
The file
Invitation letter obtained from the host, sponsorship and financial evidence assembled to the consulate’s stated format, school enrolment and no-objection letters, and parental consent for delegates under eighteen.
The appointment
Slots booked as a group where the consulate permits it, and staged where it does not, so the delegation is not split across two months of the calendar.
The interview
Each delegate rehearsed on purpose of travel, funding and ties to home — the three things every officer asks and most students answer badly the first time.
After a refusal
We read the refusal notice properly, tell you whether there are grounds to reapply, and pursue whatever portion of the fees the host and airline will return.
No agency can guarantee a visa. Any that says otherwise is selling you something it does not control. What we can do is make sure the file is complete and the student is prepared, which is what the decision actually turns on.
Travel and accommodation
Booked as one delegation, on group terms, with the venue as the fixed point everything else is arranged around.
Sixteen students booked individually end up on four itineraries and in two hotels. We keep the group together: one routing, one hotel, one transfer, one arrival time a chaperone can actually meet.

Accompanying staff
A chaperone travels with the delegation and stays with it through the conference. Where your own staff travel, we brief and support them on the ground instead.
A contact that answers
One local number, live for the duration, and a nightly update to the school and to parents. The time difference is our problem, not theirs.
Rules of procedure
Sessions on the host’s specific rules before departure, because THIMUN and Harvard procedure are not the same and delegates lose their first day learning that.
Mock committee
A full simulated session with the delegation, so the first time a student speaks to a room is not in Boston.
