Two problems, one root cause

Anything an institution abroad invoices you for

This started as a way to pay conference registration fees. It turned out families needed it far more often than that.

An offer from a UK university comes with a deposit deadline. A SAT registration closes on a Friday. A SEVIS fee has to clear before a visa appointment can even be booked. Each one is a small dollar amount that a local card will decline, and each one has a hard cut-off.

How a delegation comes together

A typical overseas conference runs on a four-to-six month lead time. Olympiads with a national selection stage run longer.

  1. Shortlist and budget

    You give us the year group, the delegation size and the ceiling. We come back with two or three events, each costed line by line.

  2. Registration secured

    We apply on the school’s behalf, hold the places and pay the host’s deposit before it lapses.

  3. Visa files submitted

    Documents assembled per student, appointments booked as a group where the consulate allows it, interviews rehearsed.

  4. Travel confirmed

    Flights and rooms locked once visas are in hand, or held on refundable terms where the calendar forces an earlier commitment.

  5. Preparation

    Position papers reviewed, rules of procedure drilled, and a mock committee run before departure.

  6. On the ground

    Transfers, check-in, a chaperone through the conference, and a nightly update to the school and to parents.

Questions we get first

How do you pay a university or conference abroad?

We settle the amount with the institution directly through our own banking arrangements, then invoice you in rupees against their receipt. You get documentary proof of the payment for your records, and you never have to open an overseas payment channel yourself.

Can I use the payment service without booking a trip?

Yes. Most fee payments have nothing to do with travel — an application fee, a deposit, an exam registration. Send us the invoice or the portal link and we handle that on its own.

What happens if a delegate’s visa is refused?

We tell you what the refusal notice actually means, prepare a reapplication where there are grounds, and pursue the recoverable portion of the registration and travel costs with the host and the airline. What is recoverable depends on timing and each provider’s terms, and we set that out in writing before you commit.

Can independent students join, or is this schools only?

Both. Many conferences accept individual delegates, and we place independent students in composite delegations with a chaperone. Some events, THIMUN among them, require an affiliated school — for those we work with your institution.

What does a delegation cost?

It depends entirely on the event, the destination, the season and the group size. We quote a full line-item budget before you commit, and we don’t start work until that budget is signed.
